This policy explains what personal information we receive through this website, why we use it and the choices you have.

Research and Knowledge Exchange Support Ltd (“RKE Support”, “we”, “us”) is the controller for personal information described in this policy. We are registered in the United Kingdom under company number 14364673 and with the Information Commissioner’s Office under registration ZB611005.

2. Information we may receive

We may receive your name, work email, organisation, role, newsletter preference and anything you choose to include when you use a website form, email us, book a conversation or make an enquiry. If you ask us to save and download a Health Check report, the submission also includes the result, category scores and recommended priorities shown to you.

Our website host and privacy-focused analytics provider may process technical information needed to deliver, secure and understand use of the site, such as an IP address, browser information, requested pages, referring page and timestamps.

Please do not send confidential research, special-category personal data or sensitive award information through a general website form or enquiry.

3. The Research Operations Health Check

Your answers and result are calculated in your browser. They stay in the browser unless you choose to save and download the report. If you make that choice, the form submits your contact details, result, category scores and recommended priorities to RKE Support so we can save the result, unlock the print-ready report and respond to the issues it identifies.

Saving the report does not require you to join our insights list. The separate, optional checkbox records consent if you would also like occasional guidance and updates.

4. How and why we use information

We use enquiry and booking information to respond, understand what support may be relevant, arrange conversations, provide requested services, maintain business records and protect this website.

Our lawful bases may include taking steps at your request before entering a contract, performing a contract, meeting a legal obligation and our legitimate interests in responding to enquiries, operating our business and maintaining a secure website. We consider the impact on your rights before relying on legitimate interests.

5. Analytics, cookies and external services

We use Plausible Analytics to understand aggregate use of this website, including page views, referrals, downloads and completed website journeys. It is configured without analytics cookies or cross-site advertising profiles. Plausible and our host still receive technical request information needed to provide and secure their services.

Links to Calendly, LinkedIn and other external websites open services operated by those organisations. If you use an external service, it processes information under its own privacy and cookie notices. We do not control cookies placed on external websites.

6. Who processes information

We use trusted service providers for website hosting and forms, privacy-focused analytics, email delivery, booking and business administration. These may include Netlify, Plausible Analytics and the email or booking provider active at the time. They process information for the relevant service and under their own legal and contractual responsibilities.

If information is processed outside the United Kingdom, we take reasonable steps to ensure an appropriate safeguard is used where required by data-protection law. We do not sell personal information.

7. How long we keep information

We keep information only for as long as it is needed for the purpose described. As a usual guide, we may keep enquiry and Health Check submission records for up to 24 months unless they become part of a client relationship, we need them to establish or defend a legal claim, or a longer period is required by law.

We keep an insights subscription record until you unsubscribe, withdraw consent or the list is no longer used. Contract, finance and project records may be retained for the periods required by legal, tax, insurance or funder obligations.

8. Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict personal information; object to certain use; and receive information you provided in a portable format. You may also withdraw consent where consent is the lawful basis.

To exercise a right, email service@rkesupport.com. We may need to confirm your identity. You can also complain to the Information Commissioner’s Office.

9. Changes to this policy

We may update this policy when our website, services or legal obligations change. The date at the top shows when this version was last updated.
