Start with the current award documents

UKRI publishes standard grant terms, but every award also has its own offer, accepted application and possible additional conditions. Build the control from that complete award record and check the version and effective date of the terms. Do not rely on a checklist copied from an older project.

UKRI places responsibilities on the research organisation receiving the grant. Internally, those responsibilities cross research operations, finance, the project team, human resources, procurement, partners and leadership. Local ownership must therefore be explicit.

1. A controlled award launch

Translate material requirements into a launch record. Confirm scope, start and end dates, budget, conditions, reporting, partner arrangements, data or asset requirements, project responsibilities and escalation. Record that the relevant people understand the award.

2. Connected financial and delivery monitoring

Review spend and commitments alongside project progress. A budget underspend may reflect delayed recruitment or activity; an apparent overspend may signal a change that needs approval. The control is the conversation and action supported by the numbers, not simply producing a monthly file.

3. Evidence that follows the decision

Keep a traceable record of approvals, expenditure, procurement, time or activity where required, partner oversight, changes, claims and reporting. Evidence should be retained in an agreed location with naming, access and retention arrangements that survive staff turnover.

4. A clear route for changes and exceptions

People need to know which changes can be handled internally, which need formal UKRI action and who decides. Use a simple log for material changes and exceptions, including rationale, impact, approval and correspondence.

5. Routine assurance before formal assurance

Sample live awards before a funder visit or audit is announced. Trace selected requirements through process and evidence, talk to the people involved and agree actions with owners and dates. UKRI’s funding assurance programme uses a risk-based approach; organisations benefit from having their own proportionate line of sight.

The aim is confident delivery

Compliance should protect the public purpose of the funding and help the project deliver what was agreed. When controls are integrated into setup, monitoring and decisions, they give people earlier information and make formal assurance less disruptive.
